Terms & Conditions for Bloom@Doon Plant Market Stallholders
Event Cancellation or Weather Impact:
In the event of circumstances beyond the control of the Bloom@Doon Committee, such as event cancellation or adverse weather conditions that significantly impact the success of the event, the Bloom@Doon Committee reserves the right to cancel or reschedule the event.
Refund Policy:
If the event is cancelled or rescheduled due to unforeseen circumstances or weather conditions, registration fees will be refunded in full to all stallholders. Refunds will be processed within 14 days of the scheduled event date.
Stallholder Fees and Payment
The stallholder fee for participation in the event is
- Standard Stall: $50
- Double Stall: $100 (or more—just multiply!)
- Not-for-Profit/Community Group/School Stall: $40
- Student Stall: $30
Public Liability Insurance:
All stallholders must hold their own public liability insurance – must be current as at time of the event. Failure to provide proof of insurance may result in the non-acceptance or cancellation of your registration.
Stallholder Responsibilities:
Stallholders are responsible for ensuring their setup meets all local health and safety regulations. The Bloom@Doon Committee is not liable for any damages, losses, or theft of goods, or for any injuries sustained by stallholders or visitors during the event.
Event Staff:
- Event staff will be identified by yellow hi-vis vests
- Event organisers will be identified by pink hi-vis vests
Respectful Conduct:
Bloom@Doon is a community event made possible by volunteers who generously give their time. We ask that all stallholders engage respectfully with event staff, organisers, and fellow participants at all times. Any form of abusive, aggressive, or inappropriate behaviour will not be tolerated. The Bloom@Doon Committee reserves the right to ask any individual engaging in such behaviour to leave the event.
Bump In
- Bump in commences at 5.30am.
- Please ensure you follow instruction of event staff at all times when moving within the event space with your vehicle
- Vehicles, unless you have been allocated a site that includes your vehicle at the rear of your site, must be removed from the market area by 7.30am
You are welcome to set up marquees etc on Friday afternoon/evening, however please note that there will be no overnight security.
Bump Out
- We ask that stallholders do not commence packing up until the official market end time of 2pm.
- Bump out to be completed by 4pm
- Please ensure you follow instruction of event staff at all times when moving within the event space with your vehicle
- Vehicles are not to be moved in the market area until instructed by event staff at the end of the market – everyone’s safety is our primary objective.
Advertising and Marketing:
- All stallholders will be advertised on the Bloom@Doon website for a full 12 months
- All Stallholders will be listed on the Bloom@Doon Map – digital copy will be available for download from the Bloom@Doon website, with printed copies available from the Information Hub on the day of the market.
Event Rescheduling:
If the event is rescheduled, stallholders will be notified of the new date, and their registration will automatically be transferred to the new date. If a stallholder is unable to attend the rescheduled event, they may request a refund, as per the policy above.
Force Majeure:
The Bloom@Doon Committee shall not be held responsible for any delays, cancellations, or disruptions due to force majeure events, including but not limited to extreme weather, natural disasters, acts of government, or other events beyond reasonable control.
